*IMPORTANT!!!!!!    Regarding hotels:   Each of the hotels has a deadline to which a certain number of the blocked rooms should be filled.   If you've ever tried blocking rooms at hotels, you know what I'm talking about.   If not, the basics are this:   The hotel holds a certain number of rooms for people that are specifically related to symposium.   The entire block will be held until a certain date (the "release date") to be decided by the hotel, this is usually about 30 days prior to the event.   After this deadline, the rooms will be released for general public use.   However, prior to the release there is also another deadline in which a certain percentage of the rooms that are blocked must be filled or the party holding the rooms gets charged a certain amount.   These are the deadlines that we, as a planning committee worry about.   Some of these deadlines for the hotels we're using for symposium are VERY early and all of them are earlier than January 15, which is when registration ends.   Due to the size of symposium and the availability and location of the hotels, it was necessary to book these hotels.   So, attached is a list of the hotels below and the date by which a certain percentage of the rooms must be filled.   Please encourage your students to book the hotels with the earliest dates on them first so we can fill them and avoid needless charges.   If, by the time the deadlines come around, the percentage of rooms to be filled, as required by the each hotel has failed to be filled, the planning committee will release these rooms and the symposium rates will no longer be valid.
